1 Who we are
Fitread is run by Fitread Ltd, registered in England and Wales, company number 17499351, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ.
Fitread Ltd decides how and why your personal data is used for Fitread. In data protection law, that makes us the controller.
How to contact us about your data:
- email: support@fitread.co.uk;
- our contact form;
- post: Fitread Ltd at the registered office above.
We have not appointed a data protection officer. Our director deals with privacy questions.
Fitread Ltd is registered with the Information Commission (the ICO) and pays its data protection fee.
2 The short version
- Without an account, your CV file is never stored, and nor is its full text. Your reading, which holds up to 3 short lines of your CV and an AI review written from it, is kept for 24 hours, then deleted.
- With an account, every CV you read is saved in your CV manager with its reading, until you delete it or all your data, close your account, or after 5 years without use.
- To write the AI parts, the text of your CV and the advert goes to Anthropic (in the US), which runs the Claude AI model for us. We do not add your account details. Your CV text goes as it is, including any contact details written in it.
- If you paste your LinkedIn profile link into the LinkedIn check, Mindcase, a profile data service, reads your public LinkedIn profile for that check. Fitread does not keep it.
- Fitread never sends your CV, score or reading to an agency or a job board. Auto apply sends an application only to a company job, and only when you press Apply on it (or Apply to all with it ticked) or under the Hybrid or Auto instruction you chose, after you set it up and agreed to it. Where Fitread can send it, its server sends your CV and answers to the employer: through the employer's recruiting system, or by filling in and sending the employer's own application form. For some recruiting systems that form is filled in and sent in a browser that Firecrawl runs for us (section 6). For systems that need your own account with the employer (Workday), Fitread's server sends it the same way, only where it can sign in with the employer login you authorised (section 3.11). Otherwise you finish it on the employer's own page. Your match score is never sent.
- Fitread pages carry no advertising and no third-party analytics or tracking scripts. We count some events ourselves, as totals, without cookies. Two outside scripts load only when needed: Stripe's on the checkout page, and Intercom's when you click "Help chat" (section 12). We do not sell your data.
- The Inbox, if you set it up: the job emails you forward to your private Fitread address are kept for 180 days, labelled by our own rules and, when they are not sure, by Anthropic's Claude. Images and attachments are never loaded or kept. Your applications keep your own email address, and Fitread never sends an email for you.
- Employer logins: where a company's recruiting system needs an account, you authorise Fitread to make one with your email and a password it generates, kept encrypted, so it can sign in and apply. We never store the password in the clear, and never show it to you unless you press Show. You can see or forget each login (section 3.11).
- Read and not kept: the letter check and the CV proofread read what you give them in memory, keep nothing and use no AI. A CV or LinkedIn PDF you upload to start the CV builder is read in memory and the file is not kept; what you then keep in the builder is stored like anything you type there (3.4). The LinkedIn checks keep nothing you paste.
- We never ask for your nationality. Right to work is in your own words.
- Fitread's pages do not repeat this notice: it applies whether or not a page says what happens to your data.
- You can download your data, or delete it, at any time from your account page.
3 What we use, why, our lawful basis and how long we keep it
The law lets us use personal data only for a lawful reason, called a lawful basis. We use these:
- Contract: we need the data to give you the service you signed up for (your account, readings, tools and plan).
- Legitimate interests: we have a good reason, and it does not override your rights. Section 10 explains your right to object to these.
- Legal obligation: the law requires it.
- Consent: you have agreed, and you can withdraw that at any time.
3.1 If you scan your CV without an account
| What we use | What for | Lawful basis | How long we keep it |
|---|---|---|---|
| Your CV file, or the CV text you paste | To read your CV and give you a score. Its text goes to Anthropic (section 6) | Legitimate interests: giving you the score you asked for | The file and the full text are never stored. They are read in memory. The uploaded file is deleted in the same request. Between the scan's two steps, the CV text travels back to your browser inside the page's form; it is not kept on our server |
| The advert: a job on Fitread, or an advert's title and text you paste | To compare your CV with it. Advert text goes to Anthropic | Legitimate interests, as above | Kept in the reading for 24 hours |
| The reading: your score, the skills found and missing, the checks, the AI review and opener (written from your CV, so they can repeat details from it), up to 3 short lines of your CV (120 characters each at most), and one-way codes (hashes) of the CV and advert text | To show your score, and to let you keep the reading if you create a free account within 30 minutes | Legitimate interests, as above | 24 hours from your scan, then deleted at the next clean-up, which runs every 15 minutes. There is no way to delete it sooner yourself |
| Your reading's private code | Part of how we store a reading | Legitimate interests, as above | As long as the reading. We store only a one-way code of it. We never show the code to you or put it in a link |
| A sign-up token that links the reading to a new account | To move your reading into your account if you sign up | Legitimate interests, as above | 30 minutes; the record is removed a day after that. It holds no CV, advert or IP address |
| A LinkedIn headline you check | To run the headline check | Legitimate interests: giving you the check you asked for | Not stored. No AI is used |
| A one-way code made from your IP address with a secret key (never the IP address itself) | To count readings against the 30-day limit for your connection | Legitimate interests: fair limits and preventing misuse | 13 months, so we can spot the same connection misusing free readings across a year |
3.2 Your account and signing in
| What we use | What for | Lawful basis | How long we keep it |
|---|---|---|---|
| Your email address, verified by our sign-in provider | Your account, signing in, linking your account, payments, and the emails in section 13 | Contract | While your account exists, up to the 5-year rule (section 8) |
| Your WorkOS user id, how your account was linked, and the method and time of your last sign-in | Signing you in | Contract | While your account exists, also after "Delete all my Fitread data" |
| Which version of our Terms you agreed to, and when (the line "By continuing you agree to the Terms and have read the Privacy notice" where you sign up or sign in) | A record of your contract with us | Contract | While your account exists, also after "Delete all my Fitread data" |
| Your first name, from Google, Microsoft or WorkOS | Greeting you on the Dashboard. You can change or clear it in Settings | Contract | Until you change it or delete your data |
| Your account record: when it was created, last used and last signed in to; its status; your time zone; a user name we generate (never your name or email) | Running your account, and the 5-year rule in section 8 | Contract | While your account exists |
| An email-code request: a keyed one-way code of your email address (never the address), counts and times | Sending you a sign-in code and limiting repeat requests | Contract (for a new account, steps you asked for) | Each code lasts 10 minutes. The record is deleted 1 hour after it ends, or as soon as the code is used |
| While a code you asked for on our sign-in page is still open: the email address you typed, in your session on our server | Taking you back to the code after a refresh or the Back button, without sending another code | Contract (for a new account, steps you asked for) | Until you sign in or ask for a code for another address. Once the code ends after 10 minutes it is no longer used, and it is deleted with your session on our server, about 14 days after your last visit |
| A one-time sign-in pass: your WorkOS user id, email address, first name and WorkOS session id | Finishing your sign-in | Contract | Deleted when used. Unused, it ends after 2 minutes and is deleted at the next clean-up, within about 15 minutes |
| Your signed-in session, with your IP address | Keeping you signed in, and security | Contract; legitimate interests (security) | Ends after about 55 hours without use. The cookie lasts up to about 23 days |
3.3 Your CVs and readings (members)
| What we use | What for | Lawful basis | How long we keep it |
|---|---|---|---|
| Your CV and the advert, each time a reading is worked out | Your reading. The text goes to Anthropic (section 6) | Contract | Your CV is saved in your CV manager (next row). The advert is kept in the reading |
| A saved CV: the original file and its text, your label, where it came from, the skills found in it, its word count and date | Your CV manager, readings, the Editor and Job Match | Contract | Until you delete it or all your data, or close your account, or after 5 years without use (section 8) |
| Your readings, with any label and terms you add | Showing your readings | Contract | As for a saved CV. On the free plan a reading is stored as the free plan shows it. When Pro or a trial ends, your readings are reduced to what the free plan shows |
3.4 The tools (members)
| What we use | What for | Lawful basis | How long we keep it |
|---|---|---|---|
| Editor changes | Editing your CV. AI suggestions use Anthropic | Contract | A save makes a new CV version (3.3). Suggestions are not stored |
| Dictation: your voice, when you press the microphone button beside a text box (your answers on Needs you, a cover letter you edit, Letter check, Tailor my CV, the CV builder) | Writing what you say into that box. When you are signed in, ElevenLabs, our speech supplier, writes it out: your browser sends the sound straight to ElevenLabs as you speak, through a single-use pass our server gives your browser, and gets the words back. Otherwise, or if ElevenLabs is not available or the day's limits are used, your browser's own speech recognition does it, and depending on the browser its maker's speech service hears it (Google's in Chrome, Microsoft's in Edge, Apple's in Safari), under that company's terms, not ours | Contract (a tool you choose to use; typing always works) | Fitread never receives or keeps your voice. The words are only in the box, and kept only if you save what you are writing, as the row for that tool says. How many seconds you dictated today is counted (a number only) and gone after two days. ElevenLabs' own keeping: section 6. |
| Lines you reword in Tailor | Rewording your CV for an advert, through Anthropic | Contract | Not stored unless you save them as a CV version |
| Cover letters, application messages, thank-you notes and interview questions, with your edits and the CV lines behind them. A letter for a pasted advert keeps a copy of that advert | Your drafts, written through Anthropic | Contract | Until you delete them or all your data, or after 5 years without use |
| LinkedIn profile text you paste | Writing LinkedIn suggestions, through Anthropic, and running the profile checks (no AI). For a suggestion, up to 6,000 characters go to Anthropic, or up to 8,000 if you use it in place of a CV | Contract | Not stored. LinkedIn drafts and check results are stored only if you choose to save them, and then they can quote it. Saved ones are kept until you delete them or all your data, or after 5 years without use |
| Your LinkedIn profile link, if you paste it into the LinkedIn check, and what Mindcase reads from your public profile: headline, About, location, roles with their dates and descriptions, skills, education, and whether a photo and Open to Work show | Running the profile checks (no AI) on your own profile. Fitread asks Mindcase, a profile data service, to read your public LinkedIn profile from the link. What it reads goes into the form, where you can change it, and is then handled as profile text you paste (row above) | Contract | Not stored. Used for your check, then dropped, and none of it goes in our logs. To hold the limit on how many different profiles one account can read, we keep a one-way code of the link, made with a secret key, for 24 hours (3.8). Mindcase deletes its result after 7 days |
| Answers you practise on a reading's Interview page | Feedback, through Anthropic | Contract | Not stored unless you press "Save session" (up to 10 answers, with the feedback). Until then the result is held only in the open page. You can save it within 24 hours |
| Interview Practice, the add-on: each practice (what it is about, its level and its length in minutes, the job title or the advert it was built from, a copy of that advert, the CV used, its questions and summary), and how many practices you started this calendar month (the fair-use count) | Running your live interviews. The questions are written through Anthropic from the advert, the job title or the level, and your CV | Contract | Until you delete the practice or all your data, or close your account, or after 5 years without use (section 8). The fair-use count: until the next month's first practice, or until you delete all your data |
| Interview Practice answers: the words of each answer (from the live interview's transcript, below; for a practice answered one question at a time before 11 October 2026, as ElevenLabs or your browser's speech recognition wrote them, or what you typed), how long it took, its long pauses, what Fitread's code measured (pace, filler words, power words, pauses, negative phrases) and the AI feedback and stronger answer; and, for a practice answered one question at a time, how many characters of the interviewer's voice and seconds of speech recognition it used (numbers only). Never your voice, and never a picture of you: Fitread does not keep audio and never receives your camera's picture (with the camera on, eye contact is worked out on your device and only its numbers reach Fitread: the row below) | Feedback on each answer, through Anthropic (the answer's words, your CV and the advert) | Contract | As the practice |
| Interview Practice eye contact, smiles and light, only if you switch your camera on: five numbers for the call (the share of your answering time spent looking at the screen, reading moments, your longest look-away, the seconds measured, how often your head turned away) and each answer's own share; whether you smiled (the share of your listening time with a smile, how many of your answers had one, and a smile at the start and at the end of the call) and whether each answer had one; how much of your answering time had good light, and its most common problem. Your browser works them out on your device from the camera; the picture, any image of you and the points it finds on your face never leave your device, and nothing identifies you. Of your expression, your browser reads only whether you are smiling; it never works out your feelings or emotions | Eye-contact, smile and lighting coaching in your report | Contract | As the practice |
| Interview Practice voice level: four numbers for the call (how loud your answers were, how far your voice stood above the room's own sound, and how many answers trailed off at the end, of how many). Your browser works them out on your device from your microphone; no sound reaches Fitread for them | Volume coaching in your report | Contract | As the practice |
| Interview playback, only if you switch your camera on: a recording of the call (your camera, your microphone and, where your browser allows it, the interviewer's voice) made and kept only in your browser while the report is open | So you can watch the interview back; Save video downloads it to your device | None: it never reaches Fitread | Gone when you leave the page, unless you save it to your own device |
| Interview Practice's report: where your answers sit on the report's rubric (for each answer and area, whether it showed and a quote of your own words), strengths and what to work on; the score is worked out from it and what was measured | Your report, through Anthropic (your answers' words, the questions, your CV and the advert) | Contract | As the practice |
| The interviewer's voice of a practice answered one question at a time (before 11 October 2026): a spoken copy of each of its questions, made then by ElevenLabs from the question's words only (not your CV, your answers or anything else about you), and kept on our server by a code made from its words. None is made any more: the live interviewer speaks for itself | Reading those questions aloud | Contract | As those practices: deleted with the last practice that has the same question |
| Interview Practice's live interview: your voice during the call | The live interviewer hears you and answers in real time. Your microphone's sound streams from your browser to ElevenLabs (section 6), which turns it into words and speaks the interviewer's words. The interviewer's words are written by Anthropic's Claude model, which ElevenLabs runs for us through Google Cloud's Vertex AI service (section 6) | Contract | Never kept: Fitread never receives your voice, and ElevenLabs is set to keep no recording of the call |
| What a live interview tells the interviewer: the role, the level, its length, the questions Fitread AI wrote for it, and extracts of the advert and of your CV without your name, email address, phone number, postcode, address or links | Running the live interview: sent to ElevenLabs and its AI model for that call only | Contract | Not kept by Fitread beyond the practice (above); at ElevenLabs, with the call's transcript (next row) |
| A live interview's transcript (what you and the interviewer said, as words, with when each turn was said), the call's length and its cost to us | Your feedback. When the call ends, Fitread fetches the transcript from ElevenLabs, keeps your answers' words and the interviewer's questions and follow-ups as the practice's answers (row above), and has ElevenLabs delete the conversation straight away. The timings of your words (when your voice was heard and its long gaps) are noted by the page during the call, for pace and pauses; when the page could not time an answer, its pace comes from the times ElevenLabs gives each turn. Fitread keeps each call's length and cost as numbers, for your monthly live minutes and our costs | Contract | At ElevenLabs: deleted as soon as Fitread has read it, and kept at most 1 day if a deletion fails. At Fitread: the words as the practice; each call's minutes and cost for 400 days, or until you delete all your data |
| Tracker cards: job title, company, stage, dates, notes, pay, a copy of the advert, its link, the agency, the consultant's name, the end client, and which CV and letter you sent. Interview rounds: the names of people you type, place, meeting link, notes and outcome | Your job-hunt tracker | Contract | Until you delete them or all your data, or after 5 years without use |
| Everything you type into the CV builder | Building your CV. AI rephrasing and the bullet writer use Anthropic | Contract | Until you delete it or all your data, or after 5 years without use |
| Job Match: a ranking worked out from your saved CV's skills; the jobs you hide and why | Showing the jobs that fit you | Contract | The ranking is kept for 15 minutes. Hidden jobs: until you delete your data |
| Auto apply's job list: your match score for each company job, worked out from your saved CV's skills (numbers only: no CV text) | Ranking the jobs on Auto apply's Jobs tab and its morning picks | Contract | 22 days, or until you delete your data |
| The company jobs you decline in Your jobs or Quick review ("Not for me"): which job, its company and title, and when; no reason | Keeping them off your list to review and Quick review, and listing them under Declined, until you bring them back | Contract | 90 days (at most 1,000), or until you bring the job back or delete your data |
| Settings: your greeting name; your job-hunt profile (kinds of work, roles, places, day rate, pay, IR35 preference, working pattern, travel distance, right to work in your own words, availability, security clearance, licences); your email choices | Tailoring Fitread to you. Only you see your job-hunt profile, except a value you approve into an Auto apply application; nothing fills it in from your CV | Contract | Until you change them or delete your data, or after 5 years without use |
| Small app settings: tour progress, when the Pro offer opened on your first reading, whether the menu is folded, the counts the Auto apply reminder in the menu showed when you closed it, the last "What's new" you saw | Remembering how you use the app | Contract | Until you delete your data; the "What's new" date stays until your account is closed |
| Usage counts: how many readings, openers and bullet-writer runs you have used in the last 30 days | Plan limits | Contract | 13 months, or until you delete your data |
| Your Auto apply set-up: the CV you chose, your name, phone, town, LinkedIn and website, the kinds of work and pay you want, notice period, earliest start, right to work, visa sponsorship, driving licence, relocation, security clearance, your current employer (so it is never applied to), your choice for equality questions, your agreement that Fitread sends your applications when you press Apply, and your sending mode (Review, Hybrid or Auto, with your match score and Pause) with each standing instruction you gave (the words you agreed to and the time) | Filling in and sending your applications when you press Apply, or under your Hybrid or Auto instruction | Contract | Until you change them or delete your data; your last 20 standing instructions are kept as your record |
| Answers you give when an application asks something your set-up doesn't cover ("Needs you") | Sending that application. Answers that fit every job are saved for your next applications | Contract | Saved answers: until you change or delete them, or delete your data. The others stay with that application |
| Each application Fitread sends for you: what was sent (each answer, the CV and the note), when each step happened (prepared, approved, sending, sent, and any attempt that didn't go, as short codes and times), and whether the employer's system, page or an email from them in your Inbox confirmed it | Showing you What was sent, the application's timeline, your tracker, and answering a question about it | Contract | With the application, until you delete it or all your data, or after 5 years without use |
| While Fitread's server sends an application: its progress, the questions the employer's form asked that your answers didn't cover (in the employer's words), and your answers for that send | Running the send and showing you where it is | Contract | Your answers for the send are removed from it when it is sent or cancelled (they stay in What was sent). The record is deleted 30 days after the send ends. One waiting for you stays until you finish or decline it, or delete your data |
| A live picture of the employer's page, when it asks whether you are a person: a screenshot of their page, renewed about once a second, and the clicks, keys and short text (up to 64 characters) you make on it | Letting you answer the employer's check yourself. Fitread only passes on your own clicks and never answers it | Contract (at your request) | The picture is kept only while the page waits for you (at most 10 minutes), then deleted; anything left over is deleted within an hour. Each click is passed on once and deleted; any not passed on within 20 seconds is dropped. Only you can see the picture |
You do not need to give us any of this to use Fitread. But we need an email address for an account, a CV and an advert for a reading, and payment details for Pro (Stripe collects those).
3.5 Paying for Pro

Used for nothing else | Legitimate interests: keeping the free trial to one per person | 2 years from the trial's start, also after you delete your data or close your account |
| When you have your free first interview (Interview Practice): a one-way coded form (a salted hash) of your email address and your sign-in, made apart from the free trial's so the two cannot be matched. 3.7 Help and contact
| What we use | What for | Lawful basis | How long we keep it |
|---|---|---|---|
| The help chat (Intercom, with its AI assistant Fin): what you type, plus what Intercom's script collects once you open it (your IP address, browser, the address of the page you are on, and its cookies and browser storage). If you are signed in when you open it, we also send Intercom a random ID for your account and your email, signed by our server so no one else can open your chats as you; we never send your name, and send nothing about you if you are not signed in | Answering your questions | Legitimate interests: giving you the help you ask for | Intercom keeps conversations |

3.9 If you are named in a member's records
Members can put details of other people into Fitread as part of their own job search:
- an advert they paste can name a recruiter and give their contact details;
- a member may upload a CV for someone else who has asked them to (our Terms allow this only with that person's agreement);
- tracker cards and interview rounds can name recruiters, consultants and interviewers, with meeting links and notes;
- emails a member forwards to their Inbox (3.10) come from recruiters and employers, and hold the sender's name, email address, signature and what they wrote.
| What we use | What for | Lawful basis | How long we keep it |
|---|---|---|---|
| Names, contact details and notes about you that a member typed, pasted or uploaded | Letting that member run their own job search | Legitimate interests: letting members run their own job search | As part of that member's records, until they delete them or all their data, or after 5 years without use |
| An email you sent a member, which they forwarded to their Inbox | Letting that member read, sort and answer it alongside their applications | Legitimate interests: letting members run their own job search | 180 days from when it reached us, or sooner if the member deletes it or their data |
- Where it comes from: the member, or for an Inbox email, the member forwarding what you sent them.
- Shared with: Anthropic, when the member uses an AI tool on that text, and to label an Inbox email our rules could not label; Cloudflare, which receives an Inbox email for us and passes it on (section 6).
- We use these details only for that member's job search, and delete them with the member's data. We do not contact the people named.
- If you think we hold your details this way, contact us.
3.10 The Inbox (emails you forward)
You can give Fitread the replies employers send you. You get a private address (inbox+your code@in.fitread.co.uk) and set your own Gmail filter or Outlook rule to forward recruiting systems' emails to it. Your applications keep your own email address: employers never see the Fitread one.
| What we use | What for | Lawful basis | How long we keep it |
|---|---|---|---|
| The emails you forward: sender's name and address, reply-to address, subject, date, the text, the number of images and the names of attachments | Showing them in your Inbox, labelling them, linking each to your application, moving your Tracker card forward (with Undo) | Contract (a feature you set up) | 180 days from when each reached us, then deleted. You can delete any email sooner |
| A short label suggestion from Anthropic's Claude, when our rules are not sure what an email is | Labelling it | Contract | With the email |
| Your private address, and earlier ones you replaced | Taking your emails, and dropping any sent to an old address | Contract | Until you delete your data or account |
| The confirmation code Gmail sends when you add the address in Gmail | Showing it to you on the set-up page | Contract | Shown for 7 days; gone when you make a new address |
| An AI reply draft, and your edits to it | Letting you send your own reply | Contract | With the email |
- What we never keep: the email's HTML, its images (never loaded, so no tracking pixel reaches the sender), its attachments (only their names; there is no virus scanner), the other people it was sent to, or the raw message.
- Labelling: our own rules read the subject and the start of the text first. Only when they are not sure does Anthropic receive the sender's name and domain, the subject and the start of the text (up to 3,500 characters), never your CV. You can change any label.
- AI reply: when you ask for one (part of Pro), Anthropic receives the email, your CV and your saved answers. The draft is labelled as written by AI. You edit it and send it from your own email; Fitread never sends it.
- Shared with: Cloudflare, which receives each email at in.fitread.co.uk and passes it straight to us without keeping it; Anthropic, as above (section 6).
- Other people: the emails name the recruiters who wrote them. Section 3.9 explains how we treat their details.
3.11 Your employer logins
Some companies' recruiting systems (for example Workday) need an account before you can apply. When Auto apply meets one, Fitread makes an account for you, with your own email address and a strong password it generates, so it can sign in and apply (section 7B of the Terms). You can see or forget each login on "Your employer logins".
| What we use | What for | Lawful basis | How long we keep it |
|---|---|---|---|
| The account you authorise us to make: the recruiting system (and the company's tenant), your email address as the login, and the password we generated | Signing in to apply for the jobs you chose | Contract (you authorise it to apply for you) | Until you forget the login, delete your data, or close your account |
| A log of when a login was used, and by what (our sender, or you on Show) | So you can see how your logins are used | Contract | With the login |
| A note of each company system whose login you told us to forget | So Auto apply does not make a second account there (the company still has yours) | Contract | Until you allow that site again, delete your data, or close your account |
- How the password is kept: encrypted. Each password is sealed with its own key, and that key is sealed with a master key held only in the server's settings. We never store a password in the clear, never put it in a log or an export, and never send it to your browser except when you press Show (after you sign in again).
- We never store your Fitread password as an employer password: each employer login gets its own fresh, unique password.
- Email verification: if a system emails a verification link, we follow only a link on that same company or recruiting-system website, and no other link in the email. If your Inbox is not set up, we ask you to click it yourself.
- Sign-up terms we accept for you: creating the account, we accept that system's own sign-up terms and privacy notice on your behalf, because you authorised it (Terms section 7B). Your application records that, with links.
- A human check: if a sign-up or sign-in page asks you to prove you are a person, we do not create an account or sign in there, and we never answer or get past such a check.
- Deletion: forgetting a login removes our copy at once (the account stays on the company's site; we keep only a note of which site, so Auto apply makes no second account there until you allow it again). Deleting your data or closing your account removes every login and its access log.
- Off until it is set up: without the master key, this feature is off and no login is ever stored.
4 Sensitive details in your CV
Some CVs include details the law treats as sensitive: health or disability, ethnic origin, religion or beliefs, political opinions, trade union membership, sexual orientation, or criminal records (such as a DBS check or a conviction).
- We do not ask for these. You do not need any of them in a CV, and you can remove them before you upload.
- Fitread does not look for health, ethnicity, religion, politics, union membership or sexual orientation, and none of these is used in the score. The score uses skills, the job title and the sector.
- When an advert asks for a DBS check, we check whether your CV mentions one, and show only that. The CV builder can also ask whether you hold a DBS check, and adds your answer, in your words, to your CV.
- If your CV contains sensitive details, they are handled like the rest of the CV: saved in your CV manager with each reading until you delete it, and sent to Anthropic for the reading.
5 AI, the score and automated decisions
How the score works
- Our code compares the advert's skills with your CV. The advert's skills your CV shows earn up to 70 points, and the advert's job title up to 15. The sector earns 15 when the advert states a sector, and a pasted advert always gets them.
- The score is capped at 29 when your CV shows fewer than 2 of the advert's skills, or too few of its specific ones. It is capped at 49 when the advert names fewer than 3 skills we recognise, and it is 0 when the advert names none.
- The total, from 0 to 100, is your match rate. The AI cannot change it.
- Job Match ranks live jobs by how well they fit the skills in a CV you have saved.
Where AI is used
- Claude, an AI model by Anthropic, writes the AI review, openers, suggestions and drafts. Each is labelled as written by AI.
- In Auto apply, Claude may write the answer to a required free-text question on an employer's form (such as "What makes you a good fit for this role?"). It is sent your CV text and the advert, and writes only from them. The answer is labelled "Written by AI from your CV" in What was sent. In Review you read it before it goes; in Hybrid and Auto your standing instruction covers it.
- Anthropic receives the text of your CV (up to 8,000 characters at a time), the advert (up to 5,000 characters), what you typed for a tool (up to 1,500 characters), LinkedIn profile text you paste (up to 6,000 characters) and figures our code has worked out.
- It does not receive your account number, or the email address you sign in with, unless that address is written in your CV. Your CV text, including any contact details in it, goes as it is.
- For the Inbox, Claude labels an email only when our rules are not sure what it is, from the sender's name and domain, the subject and the start of the text, without your CV. An AI reply sends the email, your CV and your saved answers (3.10).
Automated decisions
- Scoring your CV and ranking jobs is profiling, done for your own use.
- We make no decision about you that has a legal or similarly significant effect. Fitread sends nothing to agencies or job boards, and nothing to an employer unless you press Apply on a company job (or Apply to all with it ticked), or under the Hybrid or Auto instruction you chose, after you set up Auto apply and agreed that Fitread sends your applications. With "Let me check each application before it goes" on, nothing goes until you press Send on the application's own page. Fitread never guesses an answer. When an employer's form asks something your answers don't cover, it answers only from your own facts: worked out from your CV or taken from your profile ("From your CV", "From your profile"), or, for a required free-text question, written by Claude from your CV and the advert only ("Written by AI from your CV"). Anything else, and right to work, sponsorship, criminal records, health, equality monitoring, security clearance, qualifications your CV doesn't show, pay you haven't saved, consents and declarations, waits for you. The employer makes its own decisions about your application.
- Some routine steps are automatic: plan limits, AI limits, rate limits, and the check that a CV is in English. If you think one of these has gone wrong, contact us and a person will look at it.
6 Who we share data with
We use these suppliers. Each one acts for us, under our instructions, except where the table says otherwise.
| Supplier | What it does for us | What it receives | Where |
|---|---|---|---|
| Anthropic | Runs the Claude AI model | CV and advert text (with any contact details written in the CV), what you type into a tool, figures our code worked out, and Ask Fitread questions. Not your account number, and not the email address you sign in with unless your CV contains it. Under its commercial terms, Anthropic does not train its models on what we send. | US |
| WorkOS | Sign-in | Everything you enter on its sign-in page. For an email code, from its page or our score page: your email address, IP address and browser details. It returns your verified email, user id and first name | US |
| Google, Microsoft | Sign-in, if you choose them | They handle your sign-in under their own privacy notices and pass your profile to WorkOS. They act for themselves, not for us | - |
| Stripe | Payments | Section 3.5. On the checkout page, Stripe's script also collects device and browser details for fraud checks. Stripe also uses data for its own fraud prevention and legal duties, as a controller in its own right | US: the UK-US data bridge or the UK Addendum, under Stripe's data processing agreement |
| Intercom | The help chat and its AI, Fin | Section 3.7 | US |
| Mindcase (Mindcase Technologies Private Limited) | Reads your public LinkedIn profile when you paste your profile link into the LinkedIn check | The link you paste, and nothing else about you: not your name, email address or account number. It sends back the profile's public details, which Fitread uses for your check and does not keep. Mindcase deletes its result after 7 days | India |
| The employer you apply to, and its recruiting system (for example Recruitee, Greenhouse, Lever, Ashby, Workable, Teamtailor, Pinpoint, Personio, Breezy, Oracle Recruiting Cloud or Workday) | Receiving your application, only after you press Apply (or Send) on a company job in Auto apply, or under the Hybrid or Auto instruction you chose | Your name, email address and phone number, your town, LinkedIn and website if you gave them, the CV you chose, your note if there is one, and your answers to its questions (from your set-up, your saved answers, what you answered for that application, or worked out from your CV and profile or written by AI from your CV, each labelled in What was sent). Never your match score, your reading or what Fitread thinks of the fit. When Fitread fills in their own form, their page sees Fitread's server and browser, not yours. On Workday, Fitread's server fills in their page the same way, under the account you hold with that employer. The employer and its recruiting system use what they receive as controllers in their own right, under their own privacy notices | Where the employer's system is |
| Firecrawl (SideGuide Technologies, Inc.) | A browser service. For the recruiting systems where Fitread uses it, its browser opens the employer's own application form, fills it in with what Fitread gives it and presses Submit, after you press Apply. It also reads a company's job page you paste when Fitread's own read can't (never a job board) | For a send: the form's address, your application details and answers (as in the row above) and the CV you chose, for that send only. For a pasted job link: the page's address only, nothing about you. It never gets your match score, your reading or your account. Fitread asks it for its basic connection only, and it never answers a check for people for you: the send stops and you finish it on their page | US |
| ElevenLabs (Eleven Labs Inc.) | Speech: Interview Practice's live interview, in which it hears you and speaks the interviewer's words, written by its AI model: Anthropic's Claude, which ElevenLabs runs on Google Cloud's Vertex AI (Google LLC); and turning speech into words (speech recognition) for dictation into text boxes | For a live interview: the sound of your voice during the call, and the interview's details (the role, the level, its length, its questions, and extracts of the advert and of your CV without your contact details); it keeps no recording of the call, and we have it delete the conversation as soon as we have read its words. For dictation: the sound of your voice as you speak, from your browser; it sends back the words. Not your name, email address or account number. For dictation spoken straight from your browser it keeps what it keeps under its terms. | US (requests may be handled in the EU) |
| Fantastic.jobs | A job data service. Fitread asks it which companies have UK jobs on which recruiting system, to find companies' own job boards, which Fitread then reads itself | Nothing about you: only searches (a country, a recruiting system, and names of companies to leave out). Its answers are companies' job adverts; if one names a hiring manager, Fitread drops that at once and never keeps, logs or uses it. It acts under its own terms, not for us | Netherlands |
| Check services on employers' pages (for example Google reCAPTCHA, hCaptcha or Cloudflare Turnstile) | Asking whether a person is applying, when the employer's page uses one | Fitread's server address and browser, and the clicks you make on the live picture of that page. They act for the employer or for themselves, under their own terms, not for us | Where the service is |
| Resend | Sending Fitread's emails | Your email address, our address, the subject, the text and a tag for the kind of email | US: the UK-US data bridge and the UK Addendum, under Resend's data processing agreement |
| DigitalOcean | Hosting our server | Everything we hold is on that server | Servers in London. DigitalOcean is a US company and can reach them for support |
| Laravel Forge | Managing our server | It can reach everything on the server | US |
| Cloudflare | Our domain name system (DNS); and for the Inbox, Email Routing and an Email Worker that receive the emails you forward to your Fitread address and pass them to us | Every request to fitread.co.uk, with your IP address, which passes through it. For the Inbox: each email you forward, passed on at once and not kept by our worker | US |
| Sentry | Error reports, if switched on | Reports built to hold no personal data, except a browser report's page path with any private code removed | EU (Germany) |
- Each supplier that acts for us has a written contract with Fitread Ltd that limits what it may do with your data. Firecrawl's and Mindcase's are being put in place.
- Each supplier keeps its own records for its own period. When you delete your Fitread data, we cannot delete what a supplier keeps for itself: for example, your receipts at Stripe, your sign-in record at WorkOS, or your chats at Intercom. Ask us, and we will ask the supplier to delete what it holds for us.
- We may also share data if the law requires it, or to protect our rights, for example with the police or a court.
- If Fitread Ltd's business is sold or merged, the data may pass to the new owner, who must use it as this notice says.
7 Countries outside the UK
Some suppliers are in the US or the EU, or can reach our data from there.
- EU (Sentry, if switched on): UK law treats the EU as giving adequate protection.
- US (Anthropic, WorkOS, Intercom, Stripe, Resend, DigitalOcean, Laravel Forge, Cloudflare): each transfer is protected by one of these: the UK-US "data bridge", where the US company has joined it; or the UK's approved contract clauses (the International Data Transfer Agreement, or the UK Addendum to the EU clauses) in our contract with it.
- Support access: a US company may reach data held in the UK, for example to give support. The same safeguards apply.
- Employers' recruiting systems: an application you send with Auto apply goes to wherever the employer's system is, often the US (Greenhouse, Lever, Ashby) or the EU (Recruitee); Workable, Teamtailor, Pinpoint, Personio and Breezy say where in their own privacy notices; on Oracle Recruiting Cloud, it goes to that employer's own Oracle site, held in the Oracle data centre the employer chose; on Workday, it goes to that employer's own Workday site, held where Workday holds it for that employer. It goes there because you asked for it to be sent there.
- Firecrawl: a US company. The safeguard is the UK's approved contract clauses in our contract with it, which we are putting in place.
- ElevenLabs: a US company certified to the EU-US Data Privacy Framework and its UK Extension (the UK-US "data bridge"); its data processing agreement also carries the EU clauses with the UK Addendum.
- Google (Vertex AI), for ElevenLabs: the live interview's AI model runs on Google Cloud for ElevenLabs, in the US unless ElevenLabs keeps the work in the EU.
- Mindcase: an Indian company. The safeguard is the UK's International Data Transfer Agreement in our contract with it, which we are putting in place.
You can ask us for a copy of the safeguard for any supplier.

| Your clicks on that picture | Passed on once, then deleted; dropped after 20 seconds |
| Site log | The latest 10,000 entries |
| Backups | Up to 4 weeks |
Deleting and backups. When you delete something, it is removed from Fitread at once. Copies stay in our backups until those backups are deleted, up to 4 weeks later. We do not restore deleted data from a backup, except to recover from a fault; if we ever do, we delete your data again.
The 5-year rule. If you have not signed in for 5 years, we email you first, then close your account and delete everything in it, including your account record and email address.
9 Your rights
You have these rights. Using them is free.
| Right | What it means | How to use it |
|---|---|---|
| See your data (access) | Get a copy of the data we hold about you | "Download my data" on your account page gives a .zip with your readings, saved CVs (files and text), tracker cards and notes, drafts, usage counts, plan record and settings. You can download it 5 times in 24 hours. For anything else we hold, such as your account record or log entries, contact us |
| Take your data with you (portability) | Get the data you gave us in a format a computer can read | The same download: a JSON file and your CV files |
| Correct your data (rectification) | Fix data that is wrong | Change your name, job-hunt profile and email choices in Settings. Your email address comes from your sign-in; contact us to change it |
| Delete your data (erasure) | Have your data deleted | Delete any reading, CV, draft, tracker card, interview round, built CV or hidden job. "Delete all my Fitread data" deletes everything at once. A guest's reading is deleted 24 hours after the scan. To close your account and delete your account record and email address too, use "Close my Fitread account" on your account page. |
| Limit how we use it (restriction) | Ask us to stop using data while a question about it is sorted out | Contact us |
| Object | Section 10 | Section 10. To stop the reading tip email, switch it off in Settings or use the link in the email |
| Withdraw consent | Where we rely on your consent, take it back at any time | Delete a CV to withdraw consent for sensitive details in it (section 4) |
| Automated decisions | If a significant decision about you is made only by a computer, to be told, to give your views, to have a person look at it, and to challenge it | We do not make such decisions (section 5) |
- We answer within one month. If a request is complex, we may take up to two more months; we will tell you within the first month.
- We may ask you to prove who you are. The time limit starts once you have.
- If we cannot do what you ask, we will tell you why.
10 Your right to object
You can object at any time to our use of your data where we rely on legitimate interests (the uses marked "legitimate interests" in section 3). Tell us which use, and why. We will stop, unless we have strong reasons that override your interests, or we need the data for a legal claim.
You can always object to any email that promotes Fitread, and we will stop. Switch it off in Settings, or use the link in the email.
To object, contact us (section 1).
11 How to complain
- Tell us first. Use the contact form, or email us at support@fitread.co.uk. We will acknowledge your complaint within 30 days, look into it without delay, keep you told how it is going, and tell you the outcome.
- You can also complain to the Information Commission (the ICO), the UK's data protection regulator: ico.org.uk/make-a-complaint.
12 Cookies and similar technology
Fitread sets only the cookies it needs to work. Fitread's own scripts store nothing else in your browser. Two outside services can set cookies or use your browser's storage, and only on the pages and after the clicks shown below.
| Cookie or storage | Set by | When | What for | How long |
|---|---|---|---|---|
SSESS followed by a code | Fitread | When you sign in, or start to | Keeps you signed in, and holds a sign-in that is under way | Up to about 23 days. Your session ends after about 55 hours without use |
fr_g | Fitread | Only if you use Fitread without an account, when you run your first scan or reading | A random number that counts your free readings on this browser, so people who share an internet connection never share a limit | 35 days |
Stripe's cookies (such as __stripe_mid and __stripe_sid) | Stripe | Only on our checkout page | Payment and fraud prevention | Set by Stripe: __stripe_mid for 1 year, __stripe_sid for 30 minutes |
| Intercom's cookies and browser storage | Intercom | Only after you click "Help chat" | Keeping your chat | Set by Intercom, for months. Fitread clears the cookies when you sign in, sign out or close your account |
| Cloudflare's cookies | Cloudflare | Only if our traffic passes through Cloudflare | Security against bots | Set by Cloudflare: __cf_bm for 30 minutes, and cf_clearance only after a security check |
Fitread's cookies are sent only to Fitread's own address. When you sign in with WorkOS, Google or Microsoft, they may set their own cookies on their own sites.
13 Emails
| When | Can you stop it? | |
|---|---|---|
| Sign-in code (sent by WorkOS) | When you ask for one | It is part of signing in |
| Trial started, trial reminder (2 days before the trial ends), trial cancelled | When your trial starts, before it ends, and if you cancel it | These are about your plan, so they are always sent |
| "Your reading for ...": the advert, your score, the biggest fix and a link (never a skill name or CV text) | Once, on the day you sign up from a scan, about that reading | It is sent once, about the reading you asked for |
| A reading tip | Once, 2 days later, only if you have not edited a CV or made another reading since | Yes: switch it off in Settings, or use the link in the email |
| Interview reminders and a weekly digest | Only if you switch them on | Yes. These are not sent yet |
14 Children
Fitread has no minimum age. It is built for people looking for work, and we do not market it to children.
15 How we protect your data
- Saved CVs are kept as private files, outside the part of the server the web can reach. The database holds where each file is, a fingerprint, the skills found and the word count, never a CV's full text. Readings and drafts can quote short lines from your CV.
- Private reading links are stored only as one-way codes.
- Fitread's app pages are never cached by others or indexed by search engines.
- Our staff tools show counts and account records, never CV or advert text.
- Fitread's sender opens only recruiting systems' own application pages (Greenhouse, Lever, Ashby, Workable, Teamtailor, Pinpoint, Personio, Breezy and the employer's own Oracle Recruiting Cloud or Workday site), over https, in a new browser with nothing saved, one application at a time, and downloads nothing. Your CV goes to it from our server for that send only. Its logs hold codes and counts, never your answers. Where a recruiting system is known to show checks for people and you use Fitread for Chrome with Auto-submit turned on, the same application goes from your own browser through the extension instead, after the same press. Where Fitread uses Firecrawl's browser for a recruiting system, the same rules hold: only that system's own application page, Firecrawl's basic connection (never one built to get past a site's bot checks), nothing it adds to your answers, no check for people answered for you, and its browser closed when the send ends.
- On Oracle Recruiting Cloud, Fitread's sender enters your email on the employer's own Oracle site (its candidate profile), fills each page of the application from what you approved and presses their Submit once. A check for people on any Oracle page stops the send: nothing is answered for you. If Oracle emails you a code to confirm it is you, you finish that application on the employer's page.
- On Workday, Fitread's sender fills each step of the employer's own Workday application from what you approved and presses their Submit once. A check for people on any Workday page stops the send: nothing is answered for you and nobody waits for one. The sender's form-filling never writes into the employer's sign-in or account pages; signing in or making the account is the employer logins step (section 3.11), which stops at any check for people too.
- Our server and its backups are held by DigitalOcean in London, and only our server's own account can read them.
16 Changes to this notice
We will update this notice when what we do changes. The version and date are at the top. If a change matters to you, we will tell you by email or in the app before it takes effect.
